Begin with an administrative bottleneck

Admissions enquiries, attendance follow-ups and routine document requests often involve the same information being copied several times. Choose one process and map the handoffs between staff. Identify where someone waits for an update, where records diverge and which exceptions require judgement. Keep the first release focused enough to evaluate.

Define the authoritative record for each student, guardian and application. Decide how duplicates are resolved and who may change contact details. Use clear status changes to drive tasks: a missing document can create a staff reminder, while a completed application can enter a review queue. Automation should make responsibilities visible.

Protect sensitive information by design

Limit each role to the information it needs. Keep a history of important changes and avoid putting personal details in broad notifications. Establish retention and access rules with the school before migrating records. A reminder system must also handle communication preferences and verify the intended recipient before sending.

Admissions decisions, disciplinary matters and exceptions should remain reviewable by the appropriate people. Use automation to assemble information, highlight missing items and prepare routine communication. Pilot the workflow with staff, measure the number of handoffs and correction requests, and maintain an export and recovery process. A useful system supports the school’s agreed procedures rather than inventing new policy.
